Privacy Policy

CROMLECH CLUB Privacy Policy (for compliance with GDPR 20th May 2018)

In this document “we” and “us” are to be interpreted as meaning Cromlech Club members, including Committee officers, and “the Club” is taken to mean the Cromlech Club. Privacy documents tend to be long, detailed, and legalistic, but in essence, they boil down to this:

  • We take our privacy seriously;
  • We keep our data safe;
  • We don’t do anything inappropriate with our data.

 

The data held by the Club is limited to be only that necessary to perform the activities we believe we, the members, have requested or agreed to: specifically, to enable Committee officers to carry out their duties, and to enable Club members to communicate with each other. In particular:

  • We retain contact details for members in order to provide a service
  • We only use data to perform activities implied by the communications with the users
  • User data is accessible electronically to appointed officers of the Club
  • Contact details are distributed as hard-copy to all Club members, typically as pdf attachments to emails, or by post. This information is confidential, for the use of members only, and should not be passed on by anyone in any form whatsoever
  • No user data is supplied to external organisations other than the BMC, where it is required for affiliate membership
  • We retain data concerning payments of subscriptions, payments for events, and purchases of items for sale
  • All data is held securely

The data we hold may consist of some or all of the following:

  • Name
  • Address
  • Date of Birth (for example as required by BMC membership categories)
  • Email address
  • Telephone numbers
  • Dates of joining/leaving the Club
  • Payments made
  • Events attended

Some of this data must be kept as part of general financial record keeping. The only other processing we do is to send occasional emails, or mailshots, to keep people informed of related activities. We believe that all the data we have has been given to us by the individuals involved for the purposes for which it is used.

Your rights

You have the right to request the information we hold for you, and the right to request us to delete information so far as is permitted by law. Contact us (secretary@cromlechclub.org.uk) if you wish to exercise these rights.
